Labourly + Certn Integration

Labourly is a B2B SaaS product built to streamline HR and hiring processes by managing certification and licensing deadlines and matching qualified workers to meaningful jobs. In 2023, a technical API was built to streamline hiring processes and timelines with integrated background checks right in the Labourly platform.

My Role

Strategic Planning, UX Research, Interactive Design, Wireframing, Prototyping, User Workflows

Tools

Adobe XD, Balsamiq, Bugherd, Microsoft Teams

Platforms

Desktop, Tablet, Mobile

The Challenge

Admins had to use multiple systems to review potential candidates for job opportunity and request background checks prior to hiring.

Research + Key Insights

I organized interviews and secondary research to gain an understanding of our user's needs and expectations.

1.

71% of participants require a background check from new employees.

2.

52% of participants pay to use a separate background check system.

USER PERSONAS

Aligning the business goals with multiple users' needs specific to the new feature.

Headshot of woman

Bio:

This is Stephanie Baker, a Recruiter at MVP Staffing Agency. Primarily responsible for sourcing, interviewing, and selecting qualified job candidates for clients in a timely manner. Responsible for keeping a detailed record of past applications' information (resume, documents, and evaluations), and manage talent pipelines to quickly fill future opportunities.

Primary Goal:

Keep the reputation high with clients by providing the most qualified and eligible applicants to quickly fill client's job postings.

Primary Pain Point:

Wastes time collecting all professional records of thousands of applicants to quickly offer the most-qualified and pre-screened applicant to clients for various job postings.

Bio:

This is Jonathan Smith-Brownlee, the Office Manager at a medium-sized Mining Company in North America. He is primarily responsible for scheduling the skilled-workers on various sites, ensure employee paperwork and training is up-to-date to comply with safety requirements, and to hire new employees.

Primary Goal:

Quickly fill job opportunities and the company work schedule with the most qualified, certified, and skilled workers.

Primary Pain Point:

When hiring, Jonathan wastes time reviewing multiple professional records including industry-standardized certifications or licenses and background checks, adding to the time required and frustration of hiring new employees.

Feature Goals

For Labourly Admins to request and manage different background checks from their Candidates, to ensure they are eligible and safe for different job opportunities.

To optimize the experience for both Admins and Candidates through a streamlined screening process, using Labourly’s platform as the “homebase” of all Admin and Candidate actions.

Conceptualizing

Transforming the insights and concepts into user experiences.

Over two weeks, I collaborated with our Engineers and Multimedia Designer to sketch and craft the entire user experience from concept to prototype.

Post-launch Research

After five weeks of development, I organized one month of post-launch testing with a Usability Study.

1.

Conducted over 20 screens to Candidates with a 94% satisfaction from Admins and Candidates specific to the speed, simplicity, and overall process.

2.

100% Satisfaction in the automation of adding the screen results to the Candidate's profile under Documents; furthermore, this function allows Admins to use Certn Screen types as a Requirements on job postings and skip a step in their recruitment process.

3.

Primary Feedback: Request for additional screen types to be included (International Background Checks). Will be completed and pushed to market by May 2023.

Final Thoughts

Successfully decreased the time Admin's spend while recruiting through a streamlined background check into Labourly.

The final design of the Certn integration into Labourly is a result of research, insights, design thinking, and iterations. User experience was a priority when designing the platform. We focused on producing a simple feature, focusing on the most essential elements and ensuring it was consistent within the Labourly dashboard.

Since we had such a strong understanding of the user needs from the foundational research, it allowed us to design with a clear picture in mind and resulted in only one major piece of feedback during post-launch research. This is the result of gaining a strong understanding of our consumer behaviours, attitudes, and emotions to create user-centered design solutions.

The project was completed in 2023, you can find more information here and the full feature proposal here.
